Refund & Cancellation Policy
This Refund & Cancellation Policy applies to all wellness retreats, experiential travel programs, and event packages
organized by Coevolve Wellness. By confirming a booking and making payment, each participant acknowledges
and agrees to the conditions stated below.
Advance Payment Requirement
To secure a place in any Coevolve Wellness retreat or travel experience, full advance payment is required at the time
of booking. Our events are curated with limited capacity and involve pre-booked arrangements with
accommodation, travel, and event partners. As such, bookings cannot be reserved or partially held without complete
payment confirmation.Strict No-Cancellation Policy
Once a booking has been confirmed, it is considered final. Due to the nature of our pre-purchased arrangements and
operational commitments, cancellations initiated by the participant, for any reason, will not be eligible for a refund,
credit, or postponement. This applies regardless of personal, professional, or medical circumstances.Non-Refundable & Non-Transferable
All payments made towards our retreats and travel packages are non-refundable, non-transferable, and non-
adjustable. Bookings cannot be shifted to a later event, nor can participation be transferred to another individual.
This ensures fairness and cost coverage across all pre-secured services that are held specifically for your
participation.Applicability to Personal Situations
Participation in our retreats requires advance commitment, and we make significant non-recoverable arrangements
on behalf of every confirmed attendee. Therefore, refunds or credits will not be granted if a participant becomes
unable to attend due to personal circumstances including, but not limited to:
Change of plans or work commitments
Illness, injury or any medical condition
Family emergencies or unforeseen obligations
Travel anxiety, fear of flying or personal discomfort
Subjective dissatisfaction with the experience
While we are always empathetic to individual situations, we are unable to absorb costs already committed with
partners and vendors based on your confirmed attendance.Flight and Airline Disruptions
Airline operations are independent of Coevolve Wellness and may be subject to delays, cancellations, or changes
beyond our control. We are not responsible for missed flights, rescheduled departures, baggage delays, boarding
denials, or transit complications. In such circumstances, no refund, adjustment, replacement itinerary, or financial
compensation will be provided by the organiser. Participants are advised to arrange travel insurance to cover such
risks.Immigration and Documentation Issues
Participants are responsible for ensuring that all required travel documentation is accurate and valid, including
passports, visas, health records, and other regulatory permits. If travel is prevented due to incomplete or incorrect
documentation, refusal of entry by authorities, or any regulatory issue, the booking will not be eligible for refund,
transfer, rescheduling, or credit.
7. Partial Participation or Early Departure
If a participant arrives late, departs before the scheduled end of the retreat, chooses not to participate in certain
activities, or voluntarily withdraws at any time, no refund, adjustment, compensation, or credit will be issued for the
unused portion of the program. All arrangements and costs remain fully chargeable as per the original booking.
8. Conduct Related Removal
Participants are required to maintain respectful and safe behaviour throughout the event. If any individual is found
engaging in misconduct or actions that endanger themselves or others, including harassment, intoxication, violence,
or violations of legal or venue rules, the organiser reserves the right to remove the participant from the program
immediately. In such cases, no refund or credit will apply, and the participant may be held responsible for any
damage or additional expenses caused by their actions.
9. Event Rescheduling
If the organiser is required to modify the dates or schedule of the event due to operational reasons, safety concerns,
regulatory orders, or venue restrictions, participants will be offered either an alternative event date or a travel credit
that may be applied toward a future Coevolve Wellness program within the validity period specified at the time of
issuance. Cash refunds are not guaranteed in rescheduling situations and remain at the discretion of the organiser
based on vendor recoveries.
10. Organizer-Initiated Cancellation
In the unlikely event that Coevolve Wellness must cancel a retreat or travel program in its entirety and no suitable
alternative option or revised schedule can be provided, a refund may be considered. Any refund amount will be
limited only to recoverable costs that the organiser is able to secure back from vendors and service partners. Non-
recoverable expenses will not be refunded.
11. Refund Scope and Deductions
If a refund is approved, it will be processed strictly under the following conditions:
The refund processing time is 45 to 60 working days from the date of the official cancellation
announcement.
Refunds will exclude any airline cancellation charges, taxes already remitted, foreign exchange losses,
payment gateway fees, or third-party booking costs.
Any approved refund will be issued only to the original payer through the same method of payment.
No additional compensation, reimbursement of incidental expenses, or payment of interest will be
provided.
12. Force Majeure and Situations Beyond Control
No refunds, adjustments, or claims shall be applicable if participation or the event experience is impacted by
conditions outside the reasonable control of the organiser. These situations may include natural calamities or
extreme weather conditions, public health emergencies, government regulations, political unrest, safety threats, or
any other extraordinary circumstances that prevent safe and practical execution of the program.
Binding Acceptance
By completing the booking and making payment, the participant confirms full understanding and acceptance of this
Refund and Cancellation Policy. The participant agrees not to initiate chargebacks, legal claims, or refund disputes
contrary to these terms. This policy is an integral and enforceable part of the participant’s contract with Coevolve
Wellness.
